Client Experience Assistant Needed for Immediate Hire

*The Role*

We are looking for a full-time client experience assistant to join our team of high-performance women transforming the lives and health of moms. In this role youll be working to follow up on the leads coming into our office to schedule appointments, field questions, follow up on inquiries, send out information packages and assist in maintaining the integrity of the companys database. The primary outcome of your role is to secure at least 30 qualified appointments per month that come in to consult with our Doctors and own the schedule understanding every appointment spot not filled is a reflection of you doing your job effectively. Within 3 months we expect you to be independent with handling conversations, both in person and on the phone, with potential patients that will lead them to being a regular and lifetime patient.

  • Contribute and attend a minimum of 1 hour per week in clinic Continuing Education during our MANDATORY weekly Staff Meeting scheduled every Wednesday including giving a powerpoint presentation to the rest of the team as needed and prepared on your own time, outside of work.
  • Be flexible in the type of work during your hours - In the 21st Century, patients expect to be seen before, during, after work. We know that back pain doesnt go away for our patients after 5pm. Because of that, and to be successful in this role, you will be required to make yourself available from 7 am until 8 pm Mon-Fri. Your 20-40 hours per week will be scheduled during these hours (start and end times between these hours are negotiable).
  • Overcoming financial objections such as, I cant afford it? Do you take my insurance? This will be met within 30 days of the potential date of hire.
  • Be dependable, on time, willing to do things because they need to be done without thinking thats not my job or thats not why I was hired. Your presence alone illustrates your commitment to being a team player and making EVERYONES experience better, either future teammates or patients.
  • Be confident making outbound calls
  • Be comfortable communicating over video messaging
  • Experience in placing repeated telephone calls.
  • Develop relationships on the phone and over text messaging
  • 4 hours of telephone conversations per day
  • 30 consultations booked per month with our doctors
  • 40% conversion rate from lead to discovery visit
  • 24 new committed patients per month
  • Must be available between the hours of 8am-7pm pacific standard time and may require shifting hours to weekends to hit targets.

*Your Responsibilities In This Role*

  • To follow up on leads that have come in using the companys lead follow-up process to qualify them, classify and route them in the right direction on the patient journey, update their information in the system and ultimately schedule a consultation where appropriate.
  • Manage the clinic flow of patients walking in the door, starting up conversations and getting to know that clients.
  • To make outbound calls to follow up on various marketing campaigns weve sent to prospects to schedule a consult and/or to call on leads that have been generated to schedule a consult.
  • Hold a lengthy (at least 15-20 minute) conversation with new patients on the phone ensuring that patients are committed and bought into our service
  • Provide an exceptional waiting room environment for our patients that they'll look forward to coming back to
  • Ensure that people who call requesting appointments are placed on schedule and understand the true time and investment it takes to get the lifelong transformation they desire.
  • Ensure people show up excited for their first appointment after scheduling
  • Communicate with patients before, during and after appointments to ensure satisfaction is being achieved. 24 hour call back calls after initial visit.
  • Organize and plan all schedules -maximizing efficiency and revenue for the clinic
  • To prepare and send the companys gift packages to new clients that have booked a new consult.
  • To update all records in the companys lead log and software with accurate and complete information. This will include using the phone to record calls, keeping good records of conversations in the record itself, updating the status of leads accurately through google docs. NOTE: Tracking requirements may change based on the list used, offer made, changes to the follow-up process, etc.
  • To use the companys database, marketing, events and other resources to find prospects and set appointments for our therapists..
  • To assist in any manner possible the staffing of our events; this may include working the product table or the registration desk, customer service and assisting in the production of the event.
  • Have a detailed knowledge of the transformations we provide through packages and services.
  • Regularly update the procedures library so that every aspect of the role is documented and can be achieved by anyone else in the business

*Skills/Competencies Needed*

  • Extreme attention to detail and being highly organized. In this role, making sure all fields are updated correctly in the database is critical.
  • Excellent project and time management skills.
  • Ability to work to meet deadlines
  • Excellent verbal and written communication skills.
  • Ability to use Microsoft Excel, CRM systems, Google drive and documents and Microsoft Office. Training is provided but general tech proficiency is required.
  • Persistence: Demonstrate tenacity and willingness to go the distance to get something done
  • Proactivity: Acts without being told what to do. Brings new ideas to the company

*Your Compensation*
